Visa to the Czech Republic: step-by-step instructions

From February 2, 2021, a Schengen visa to the Czech Republic in Russia can only be issued through VFS Global visa centers or intermediary agencies, which will ultimately deliver your documents to the same VFS. The consulate no longer works directly with tourists.

This is what a visa to the Czech Republic looks like in my passport

General algorithm of actions for registration of the Czech “Schengen” in the Russian Federation:

  1. We collect documents.
  2. We make an appointment at the nearest VFS Global visa center, arrive at the appointed time, submit documents and take fingerprints. If there are no VFS branches in your city, but you have already submitted your fingerprints for a previous Schengen visa, you can contact intermediary visa centers in your region. If your fingerprints are not submitted, you must contact the nearest accredited visa center.
  3. We are waiting for readiness. A visa to the Czech Republic is issued at the consulate in an average of one and a half weeks. Sometimes they do it in 4-5 days, but in case of doubt on the part of the consul and the need for additional checks, they can delay up to 45 days.
  4. If everything is ok, we pick up the passport with visa from the visa center and start packing our bags.

Now let's break the circuit down into its components.

Fill out the form

The application form for a visa to the Czech Republic is usually filled out by the applicant himself. In general, this is not difficult: you need to fill it out by hand or on your computer in PDF / Word format. Detailed instructions for filling out the form with examples are here.

Header of the updated application form dated 02/02/2020

Collecting documents

In addition to the application form, to apply for a Czech Schengen visa, you need to submit a number of documents to the visa center. If you're lucky, the kit can be assembled in 2-3 hours. A complete list of required documents for a visa is on the consulate website.

International passport + copy of photo spread

The foreign passport must be valid for at least three months after the expiration of the visa received. If the upcoming Schengen is not your first, please attach photocopies of previous visas issued over the last three years. Even if they are pasted into old canceled passports. Keep in mind that your passport will be taken away for the entire duration of your visa. During this time, you will not be able to use it to travel abroad. Citizens of the Russian Federation can have two foreign passports. To obtain the second one, you need to pay the state fee and contact the Ministry of Internal Affairs with a completed application form; the processing time is 30 days.

Photo

For a Czech visa, one color photograph (3.5 x 4.5 cm) no older than 6 months is sufficient. There should be no objects on the face that would make it difficult to identify the applicant, otherwise the photo will not be accepted. Old photographs are really no good; last time they didn’t accept me. Full photo requirements are here.

Visa to the Czech Republic: insurance

A medical insurance policy is a mandatory document for obtaining a Czech Schengen visa. General requirements: the amount of insurance payment is at least €30,000 (needs in euros, sometimes the amount is indicated in dollars and such policies do not apply), coverage area - the whole of Schengen. Insurance must cover every day of travel.

In order not to overpay agents on the streets, it is easier to buy a policy in advance online. Save time and money. Detailed instructions here.

Internal passport

A photocopy of the internal passport is submitted to the visa center: a double page with a photo and a page with the last registration stamp. Not only citizens of the Russian Federation, but also anyone who is legally in the country can apply for a Czech visa in Russia. If you are a citizen of another state (Ukraine, Belarus, Armenia, Uzbekistan, Tajikistan, etc.), you need to submit a copy of the main page of your passport or identity card to the visa center and separately submit a document on registration at your place of residence in the Russian Federation.

Visa to the Czech Republic: confirmation of the purpose of the trip

For tourists, who are the majority here, a printout of a hotel reservation from online booking systems is suitable. Less often, but it happens that a tourist only has a voucher from a tour operator (if the travel agency for some reason refused to take over the visa processing). It is also suitable, as it contains information about accommodation. If the purpose of the trip is treatment, you need a certificate from a medical institution. But for most, I repeat, a printout of confirmation from online booking systems will be enough.

Financial and economic guarantees

To be given a visa to the Czech Republic, you need to show that you have money for the trip. It is enough to have €60 for each day of travel (or the equivalent in Czech crowns or any other currency). Half is enough for children (€30 or 550 CZK respectively). In general, the more money in the account, the better.

You can confirm the availability of funds using one of the following documents:

  • a bank statement about the account status with the bank’s seal, the signature of the executor and the details of the branch that issued the certificate (this is important). It’s even better, but not necessary, if the statement reflects the movement of funds for the last three months;
  • a certificate from work on the organization’s letterhead indicating the salary and length of service and confirmation that for the dates of the trip the applicant is granted leave with job protection ();

Standard certificate from work for a visa. The HR department is aware of what exactly needs to be indicated in it

  • certificate 2-NDFL;
  • for individual entrepreneurs: declaration 3-NDFL, certified by the tax office + a copy of the individual entrepreneur registration certificate (assignment of OGRNIP) and TIN;
  • sponsorship letter: if it is impossible to confirm the availability of your own money (or if the visa is issued for a child), find a sponsor from among your close relatives, write a sponsorship letter on his behalf in free form, confirm his income in any described way and attach a copy of his passport to the package of documents;
  • if a visa is issued by invitation, the receiving party can bear the costs of the trip, which must be indicated in the text of the invitation.

Air, train or bus tickets in both directions

If you plan to get to the Czech Republic by public means of transport, you must attach a printout of bus, train or plane tickets to your package of documents. I talked about how to buy plane tickets online correctly here.

If you are driving your own car, instead submit a copy of the vehicle registration certificate, a driver’s license and a notarized power of attorney for the car if you will be driving someone else’s car without the owner’s presence, plus, just in case, an information letter.

This is how an information letter is written:

Sample information letter in PDF

Hitchhikers who have neither a car nor tickets can also obtain a visa to the Czech Republic. They must attach to the package of documents a free-form itinerary sheet, where the dates and expected places of overnight stays will be presented in tabular form in accordance with the available accommodation reservations. Accommodation must cover all nights of the trip.

Consent to the processing of personal data

When applying for a visa to the Czech Republic through a visa center, you will need to sign a consent to the processing of personal data. You can do this on site at the visa center; the security guard at the entrance will hand you a paper form. Or you can fill it out in advance from home, saving time at the appointment at the CC.

Consent form for the processing of personal data (pdf)

If documents are submitted for a child, you must additionally fill out and attach one more document:

Parents' consent to conclude an agreement with the CC

Documents for children

Regardless of whether the child has his own passport or is included in the parent’s foreign passport, the following must be submitted for the minor:

  • a copy of the birth certificate;
  • notarized consent from parents or guardians for the child’s departure from the Russian Federation to the Czech Republic, if the minor is traveling without one or both parents;
  • If the Czech “Schengen” visa is issued for children separately from the accompanying person (parent(s) or anyone else who is included in the Consent), a copy of the Schengen visa (not necessarily Czech) of the accompanying person(s) is attached to the package of documents for the child.

I discussed the issue of obtaining a visa to the Czech Republic for a child in more detail here.

Nuances

The first rule that you need to follow when applying for a visa to the Czech Republic: do not deceive the consulate and do not submit false documents. Even if you receive a visa using such documents, when the fraud is revealed, the Czechs will immediately cancel your entry document.

But it may happen that the travel conditions change due to reasons beyond your control. For example, when we went to Prague, the airline unilaterally postponed our return flight a day later, which necessitated the need to buy another night at the hotel and postpone the departure date from the Schengen zone. In this case, the consulate has instructions: changes must be notified by e-mail. You need to write a letter in free form with a detailed description of the changed circumstances, indicate your last and first name as if you were a foreigner, passport number and visa number if it has already been issued.

The consulate did not answer me then, but the visa was not cancelled. Perhaps they forgot to write the answer in the pre-New Year's park, or maybe this is their requirement - pure formalism. But you shouldn’t neglect it, so as not to risk your visa.

Making an appointment and submitting documents

Once the application form has been completed and the necessary documents have been collected, you must submit them to the nearest VFS Global visa center. Appointments are by appointment only; you must register online. You will need to create a personal account on the portal and then register at the visa center in the desired city.

Fingerprints

Since September 2015, a new procedure for obtaining Schengen visas has been introduced, which involves taking fingerprints and entering them into the general Schengen database. The shelf life of prints is 5 years. If you have already been fingerprinted within the last five years, any person can submit documents for a visa to the Czech Republic for you with a notarized power of attorney. If fingerprints have not been submitted previously, then you can only submit documents yourself.

Children under the age of 11 inclusive do not take biometrics. From the age of 12, the procedure becomes mandatory. Persons with disabilities are exempt from fingerprinting if their presence at the visa center is not possible.

Even if you have already taken your fingerprints, say, a year ago, at the Czech Republic visa center, when applying for a fresh visa, you will be asked to undergo fingerprinting again. It's free and you won't lose anything, quite the opposite. New “fingers” in the database are always better than the old ones.

Visa to the Czech Republic: processing time

The minimum processing time for applications for Czech visas is five working days. In practice, during the off-season, they can do it in 3-4 days, but before the New Year, the registration can take two to three weeks. The maximum period within which the Czech consulate can make a decision to issue a visa is 45 calendar days. But in 80% of cases, the Czech “Schengen” will appear in your passport within a week and a half after submitting the documents, plus a few days for forwarding if you are not in Moscow.

Do not forget that from 02.02.2020 documents for a Schengen visa can be submitted 6 months before the intended trip. I strongly recommend taking advantage of this opportunity and requesting a visa in advance.

Urgent visa to the Czech Republic

If you pay double the consular fee (€70 versus €35), you can get a visa in a maximum of three days, but this only applies to Moscow. In the regions it will not be possible to obtain it within such a period due to lengthy logistics.

How to check and track visa readiness

After you have submitted your documents to the Czech Republic visa center, your readiness status can be tracked online.

On the page that opens, you need to enter your last name, as in your international passport, and your application number. The application number will be indicated on the ICR check, which will be issued at the visa center in exchange for the documents received from you.

Visa to the Czech Republic: we pick up the finished one

Regardless of which branch of VFS Global you submitted documents for the Czech Schengen visa, you should be given a receipt or ICR check in return for the package received. The forms must indicate an approximate date of readiness (in 95% of cases it will coincide with reality, unless force majeure occurs), after which you can come for documents any day. Visa centers also have an SMS information service. It costs 100–150 rubles depending on the city and makes life much easier. The documents may be ready earlier than expected, and then you will immediately receive an SMS.

For documents you need to go to the same place where they were handed over. Without a notarized power of attorney, you can obtain them either personally or with the help of a close first-degree relative: spouse, brother or sister, for parents or children. The recipient's passport + marriage or birth certificate is suitable as confirmation.

For example, I received documents for my wife without any problems, but for my father-in-law it didn’t work out - they required a notarized power of attorney. By the way, with such a power of attorney, anyone, not necessarily a relative, can receive documents for you.

By the way, it is not necessary to go to the visa center a second time if you arranged courier delivery when applying. The cost of the service is calculated at DHL rates + visa center fee. The service is not cheap; I paid about 900 rubles for the delivery of one passport in Moscow in September 2018. Moreover, we submitted two passports together, they had to be delivered to one place, but they still counted us twice for almost 900, that is, the total came out to about 1800 rubles.
